We are looking for a friendly, organized individual with great communication skills to join a fun and supportive team.  The Administrative Assistant at FCC is a key position on our staff team and an important part of our hospitality.  A great candidate for this position will have strong administrative skills, the ability to handle multiple means of communication, and possess a servant's heart.  This person must be active in a local church.

Administrative Assistant Ferrysburg Community Church

Job Description

The Administrative Assistant is responsible to support the ministries of Ferrysburg Community Church by assisting the staff and other members of the church with clerical and administrative tasks.

Qualifications

A.   A committed follower of Jesus Christ; active member of a local church.

B.   Ability to work with confidential information.

C.   A positive and friendly demeanor and the ability to work on a team and with others successfully.

D.   Strong technical ability and excellent computer skills with proficiency in Microsoft Office and Google Workspace.

E.   Superb organizational and administrative skills.

F.    Skills in web maintenance and social media.

G.   Ability in graphic design and layout and strong visual sensibilities.

H.   Successful experience in an administrative role. 

Responsibilities

A.     Ministry Staff Assistant

●     Be available to assist Pastor and other staff as needed.

●     Develop forms, make copies, and assist with mailings as required.

●     Help coordinate events and projects.

●     Type and distribute correspondence for pastor, staff members or committees.

B.   Administration

●     Proof, copy, and distribute Council meeting minutes and agendas.

●     Code invoices and forward them to bookkeeper to process.

●     Schedule building; contact Buildings & Grounds for their input as needed.

●     Keep files current, pertinent and organized.

●     Maintain membership records; fill out necessary transfer forms.

●     Create and update Council schedules as needed for committees.

●     Maintain all office equipment.

●     Update children’s bags each week.

●     Purchase office supplies as needed or as requested.

C.   Reception

●     Answer phone and route calls appropriately.

●     Check voice mail messages and maintain voice mail system.

●     Greet all visitors in a pleasant manner and direct them appropriately.

●     Take in and distribute mail.

D.   Communication

●     Update FCC website and app each week.

●     Prepare and send several Constant Contact newsletters each week.

●     Maintain information on The Happenings board.

●     Design or find visual images to augment ministries using Canva.

●     Maintain computer system, website, and app keeping them running smoothly and updated regularly.  Coordinate social media posting.

E.   Sunday preparation

●     Prepare, print, and upload the news page.

●     Print the Children’s Bulletins.  

Accountability

The Administrative Assistant is accountable to the Senior Pastor.

The Administrative Assistant shall work up to 25 hours/week, usually between the hours of 9:00 a.m. and 2:00 p.m., Monday - Thursday.
